What does a Dynamics 365 Project Operations consultant do?

Short answer

A Dynamics 365 Project Operations consultant configures Microsoft's project-based app for professional services firms. The work covers project quotes and pricing, resource scheduling, time and expense, invoicing and project accounting. It spans Dataverse and, in the ERP-integrated deployment, Dynamics 365 Finance. Microsoft offers no dedicated Project Operations certification.

What the job involves day to day

Project Operations runs the whole life of a billable project in one app: the deal, the staffing plan, the schedule, the timesheets, the invoice and the accounting entries. A consultant on this module sits with the people who run a consulting, engineering or IT services firm and turns their way of working into configuration. You set up price lists and role-based rates, so a quote reflects how the firm really charges. You define the roles and skills resource managers use to book people, then the time and expense categories consultants submit against.

On the finance side you configure how project costs and revenue post. That means invoicing rules, work in progress and accrual profiles, and revenue recognition, so the project accountant can close the month. Then you test the full cycle end to end, train project managers and resource managers, and support go-live. The hard part is rarely one screen. It is getting sales, delivery and finance to agree on one definition of a project, a rate and a billable hour.

How Project Operations spans Dataverse and Finance

Microsoft splits the product across two platforms. Front-office users work in Project Operations on Dataverse: project managers, resource managers and team members plan, staff and record time there, and it extends with low-code Power Platform tools. Project accounting and revenue recognition live in Dynamics 365 Finance, which supplies sales tax, exchange rates and financial dimensions. Most project accountant work happens in Finance.

Dual-write keeps the two sides in sync. It moves setup data, estimates and actuals, invoices, expenses, subcontract purchase orders and vendor invoices between Dataverse and Finance. A consultant has to know which side owns which record, because most integrated issues show up as a sync problem or a mismatch between them. That is why this role suits people who have worked on both the Customer Engagement side and the finance and operations side.

The three deployment types

Microsoft offers three deployment types. Project Operations Core runs on Dataverse only. It covers project sales built on Dynamics 365 Sales, planning in Microsoft Project for the web, pricing, resource management, time, basic expense, budgets and forecasts, subcontracting and proforma invoicing. You pass the invoices to a separate accounting system, often a third-party ERP. Project Operations Integrated with ERP adds full expense with receipt OCR, customer-facing invoicing and project revenue recognition by extending Finance and Supply Chain Management.

Project Operations for manufacturing covers stocked materials, inventory and production orders on the finance and operations platform. Choosing the type early matters. Microsoft states there is no supported out-of-box data migration between deployment types. Moving later means custom scripts, custom mapping and possibly manual work. Expect to help the customer make this decision in discovery, and to defend it.

The mixed skills you need

You need three kinds of knowledge. First, how a services firm makes money: rate cards, utilization, fixed-price versus time and materials, and change orders. Second, Customer Engagement skills, since the front office runs on Dataverse and reuses the Sales app and Universal Resource Scheduling. Third, finance skills for the integrated deployment: the general ledger, project posting, WIP and revenue recognition under IFRS. Few people arrive strong in all three. Former PSA consultants and project accountants from AX or Finance often move into this work. Basic Power Platform and dual-write troubleshooting round out the profile.

What you need

  • Professional services process knowledgeYou should understand quoting, rate cards, resource utilization, time and materials versus fixed-price billing, and change orders. Most design decisions come back to these.
  • Dataverse and Sales app experienceThe front office runs on Dataverse and extends Dynamics 365 Sales, with Universal Resource Scheduling for bookings. Customer Engagement configuration experience transfers directly.
  • Project accounting for ERP deploymentsIn the Integrated with ERP type, project cost and revenue profiles, WIP, accruals and revenue recognition run in Dynamics 365 Finance. You need to be comfortable with the general ledger and month-end close.
  • Dual-write understandingYou need to know which records sync between Dataverse and Finance so you can diagnose integration failures and mismatched data.
  • CertificationWe found no Project Operations certification on Microsoft Learn. The Learn training paths for the module are free and not tied to an exam. MB-310 (Dynamics 365 Finance Functional Consultant Associate) is the closest exam for the finance side, and it renews every 12 months at no cost through an online assessment.

  2. Year 1Learn the productWork through the Microsoft Learn Project Operations paths, including the deployment and architecture modules that cover Dataverse, dual-write and licensing.
  3. Year 1-3Fill the gap on the other sideCE people learn project accounting and Finance. Finance people learn Dataverse, the Sales app and resource scheduling. MB-310 is the closest exam for the finance half.
  4. Year 2-4Own a full lifecycleDeliver quote to cash on at least one implementation, including a deployment type decision and month-end testing with the project accountant.
  5. Year 4+Lead or architectSenior consultants lead Project Operations workstreams across both platforms or move into solution architecture.

Questions people ask

Is there a Microsoft certification for Project Operations?

We found no dedicated Project Operations certification on Microsoft Learn. The Learn training paths for Project Operations are free and not tied to an exam. For the finance side, MB-310 Dynamics 365 Finance Functional Consultant Associate is the closest live certification.

Is Project Operations a CRM role or an ERP role?

It is both. Project managers and resource managers work in Project Operations on Dataverse, while project accounting and revenue recognition run in Dynamics 365 Finance when you use the Integrated with ERP deployment. Core deployments stay on Dataverse and send proforma invoices to a separate financial system.

What is the difference between Project Operations Core and Integrated with ERP?

Core covers project sales, planning, resourcing, time, basic expense and proforma invoicing on Dataverse, and suits firms with a third-party ERP. Integrated with ERP extends Finance and Supply Chain Management, adding full expense with receipt OCR, customer-facing invoicing and project revenue recognition.

Can a customer switch deployment types later?

Microsoft says there is no supported out-of-box data migration between deployment types. A switch requires custom scripts, custom mapping and possibly manual work, so consultants should settle the choice during discovery.

How does it relate to Project Service Automation?

Microsoft states that Project Operations includes the capabilities that shipped with Project Service Automation and provided an upgrade path for those customers. PSA experience is a natural route into Project Operations work.

How much do Project Operations consultants earn in the US?

There is no separate advert figure for Project Operations. US Dynamics 365 adverts on D365 Market that state pay had a median of $153,050 in the 2026-11-05 snapshot, with a 25th to 75th percentile range of $123,600 to $182,260. These are advertised figures, not earnings.
